Responsibilities

  • Compose correspondence, emails, and various communications on behalf of the Managing Director/Chief Executive Officer.
  • Research industry trends, market analysis, and competitive landscape to support educational, consulting, and coaching programs.
  • Create reports, presentations, and other materials for clients and internal stakeholders.
  • Assist in developing strategic plans and business proposals.
  • Analyze data, present findings, and support decision-making processes.
  • Schedule and coordinate meetings, take minutes when required, manage calendars, and prioritize appointments for the MD/CEO.
  • Arrange travel details, including booking flights, accommodations, and transportation for business trips.
  • Provide administrative assistance to the Management Team and external stakeholders, managing duties like drafting correspondence, preparing presentations, and compiling report data to ensure project execution runs smoothly.
  • Aid in HR tasks such as reviewing resumes, facilitating new employee onboarding, conducting orientations, and managing personnel files.
  • Post engaging content on CADsync’s social media platforms regularly, aligning with the approved content calendar.
  • Coordinate office events like staff meetings, training sessions, and social gatherings, helping with logistics, catering, and setup as needed.
  • Manage office supplies, equipment, and inventory levels, ordering supplies as necessary, and overseeing office facility maintenance.
  • Maintain electronic and hard copy filing systems, organizing documents, ensuring record accuracy and accessibility.
  • Process invoices, expense reports, and financial documents accurately, obtaining approvals and ensuring timely payments.
  • Monitor and uphold office cleanliness, organization, and appearance, liaising with cleaning staff or facilities management as required.
  • Compile and update contact lists, directories, and organizational charts for the office.
  • Handle confidential and sensitive information discreetly and confidentially, following company policies and data privacy regulations.

Eligibility Criteria

  • Bachelor’s or Master’s degree in humanities such as Psychology, Sociology, business administration, finance, or a related field is preferred.
  • Demonstrated experience as an executive assistant or in providing administrative support.
  • Strong organizational skills and effective time management abilities, capable of prioritizing tasks and multitasking efficiently within a fast-paced environment.
  • Excellent communication and interpersonal skills, adept at professional interactions with employees, clients, visitors, and vendors.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and familiar with office equipment like printers, scanners, and copiers.
  • Meticulous attention to detail and accuracy in administrative duties, record-keeping, and document management.
  • Ability to work independently with minimal supervision and collaboratively as part of a team, demonstrating initiative, dependability, and adaptability.
  • Understanding of office management practices, procedures, and best practices.
  • Familiarity with basic accounting principles and office financial procedures, including invoicing and expense tracking.
